How to Build an Office Furniture BOQ by Room and Model

A practical BOQ method for office furniture importers, fit-out contractors and project buyers to control models, quantities, room allocation and quotation revisions.

Start with rooms and user counts

Build the bill of quantities from the project layout instead of starting with a folder of product images. Give every executive room, manager office, staff area, workstation zone, meeting room, reception and storage area a clear room or zone reference.

Record the user count and required quantity for each zone. This creates a check between the floor plan, furniture schedule and quotation before model selection begins.

Keep every complete BG model on its own line

Products from one design family can serve different jobs. For example, BG-2502L is an L-shaped manager desk, BG-2502W4 is a four-person workstation and BG-2502MT is a meeting table. They should not be shortened to one base-series description or combined under one quantity.

Add the selected reference size when the verified model page lists options. If a dimension, finish or included component is still open, mark it for quotation confirmation rather than filling the BOQ with an assumption.

Control revisions through quotation and packing

Give each BOQ issue a revision number and date. When a model, quantity or finish changes, update the line and keep the same reference in the factory quotation, purchase order and final packing list.

For mixed office furniture orders, carton and loading planning begins only after the final model mix and packing data are confirmed. Product dimensions alone do not prove container quantity, so keep preliminary loading estimates separate from the approved packing schedule.

Frequently asked questions

Can an office furniture BOQ use only product photos?

Photos can support identification, but every line should also contain a product type or full model number, quantity, room reference and any selected size or configuration.

Should a workstation be counted by module or by seat?

State both the workstation module model and its seat count, then record the number of modules. This prevents a four-person module quantity from being mistaken for four separate modules.

When should packing information be added to the BOQ?

Add confirmed carton and package information after the final model, quantity and packing method are approved. Keep early loading estimates clearly marked as preliminary.
